Setting up and Using the Bookings App

Beginning: 

The Bookings app is a resource for creating an online calendar for staff or students to reserve meeting times. Only users with a specific Microsoft license type can access the app, so if you need access, reach out to Computer Services at support@okwu.edu and request it. 


Users can manage their Bookings calendar from their Teams app, which should be pinned to the sidebar menu in Teams. If you don't see it, click on the three dots menu and find it there. Users can also use the web app for managing their Bookings appointments and availability times. The web app can be accessed by going to https://outlook.office.com/bookings/homepage


To set up your personal Bookings page, go here: https://outlook.office.com/bookwithme/me and follow the prompts to set up your Bookings page and meeting types. 


To view all the Bookings pages you're a part of, you can go to https://outlook.office.com/bookings/homepage


When setting up meeting types: 



You can set the default duration of that type of meeting, enable Teams meetings, change the meeting visibility, and customize the meeting's availability hours. In the Advanced options, you can build in buffer times before and after meetings to build in some flexibility and set a required minimum and maximum lead time for scheduling meetings. 


If you would like to share your Booking page, from your personal page, click on the share link, and you will have the option to copy the direct link to your booking page, send the link in an email, or add the link to one of your email signatures. 


Managers Setting up Team Bookings Pages: 

Managers can set up team booking pages for the purposes of scheduling meetings with anyone in a certain team, for example, to facilitate student services meetings. Go to https://outlook.office.com/bookings/homepage and click on the "Create booking page" on the right side, under the Shared Booking pages section.



Managers will need to set up a Booking page name and business hours. The team name you decide on will be used to create the email address for sending booking invites and the booking page link. Once that's decided, you will be prompted to add members to the team. The next step will be setting the initial appointment type options. More can be added or modified later. Finally, you will need to determine who can see and book appointments. 


In the team booking page, managers can add time off for users, set and update Team information, set up and modify services/appointment types, enable or disable and modify the self-service booking page, and view the team's calendar, among other things.
